Our client faced challenges in managing and creating projects efficiently. The process of manually adding projects into XERO, along with the correct contacts and tasks, was time-consuming and prone to errors, leading to errors due to human error and inefficiencies.

The Solution
We implemented SharePoint Lists to provide a centralized overview of all projects and contacts, including client details, key contacts, and current status.
Using Power Automate, we developed a workflow that automatically adds new projects from the SharePoint List into XERO. This workflow also includes the following features:
- Automatic Contact Addition: Ensures the correct contact information is added to XERO.
- Task Generation: Creates a series of predefined tasks in XERO based on the project details.
- Folder Generation: Create a project folder within SharePoint for storage of files.
Alternatives and Additional Options
- Email Notifications: Send notifications to users when a project is set up.
- Planner Board Creation: Create a planner board with preset tasks.
- Dynamic Task Generation: Generate tasks based on the project’s status or description.
