Acceptable Use Policy
This policy outlines the acceptable use of Microsoft 365, including but not limited to, email, OneDrive, SharePoint, and Teams, provided by the Heliocentrix Limited to its staff and external users. The purpose of this policy is to ensure the secure and efficient use of these resources, as well as to comply with the Data Protection Act in the UK.
- Microsoft 365 resources must only be used for business purposes and must not be used for personal reasons.
- All data and information stored on Microsoft 365 resources must be kept confidential and secure, in accordance with the Data Protection Act.
- Staff and external users must not engage in any activities that may compromise the security of the Microsoft 365 resources, such as downloading unauthorised software or opening emails from unknown or untrusted sources.
- Staff and external users must not use Microsoft 365 resources to harass, discriminate, or engage in any illegal activities.
- Email must only be used for business purposes and must not contain any confidential or sensitive information.
- Staff and external users must comply with the Company’s data protection policies, at all times.
- The Company reserves the right to monitor and audit all use of Microsoft 365 resources, including email and file usage, to ensure compliance with this policy.
- Any suspected violation of this policy must be reported to the Company’s IT department immediately.
- Failure to comply with this policy may result in termination of access to Microsoft 365 resources.
