Streamlining the sales process for Cascade Insurance

How we used automation to improve day-to-day sales tracking, showing that digital transformation doesn’t have to mean big, costly changes.

The client

Based in Ashford, Cascade Insurance is an independent broker arranging insurance for businesses, including property or premises insurance, public, products and employers’ liability, care agency insurance and high value property insurance.

The company uses Microsoft Excel, Outlook and other apps from M365 in its Kent-based operations.

The challenge

New email sales enquiries were manually transferred to a spreadsheet used to track their sales process. Copying and pasting the information for each email into the spreadsheet was time consuming and there was a danger of inaccuracies or leads being missed.

The rest of the sales process was working well, so this challenge didn’t need a big, costly solution. Cascade Insurance needed a simple but effective approach to improve the day-to-day workflow, which would streamline with existing processes.

The result

Heliocentrix built an automation to transfer sales lead information directly from incoming emails to the sales tracker spreadsheet.

In testing, our first attempt at generic data extraction wasn’t 100% accurate. So we created a more tailored process to ensure the data coming into the spreadsheet is entirely fit for purpose.

This automation is applied to emails in a designated inbox. It extracts the text and cleans it, then adds the relevant data to the spreadsheet. This now happens without a member of staff needing to do anything.

Cascade has noticed how much staff time is saved, and know every lead will be captured, without worrying about errors or omissions.
